CalHelper collects the following information to provide our calendar management service:
- User Information: Name, email address (from Google OAuth sign-in)
- Trusted Recipients: Email addresses you add (e.g., partner, caregiver, or your children) to send calendar invites to. If adding a child's email, you confirm you have parental authority and consent.
- Pending Event Selections: Events extracted from your emails that you haven't yet chosen to add (deleted after 7 days or when you add them)
- Email Usage Records: Monthly email count records (e.g., "January: 5 emails") for rate limiting purposes
- Invitation Tracking: Delivery status records for calendar invites we sent (event details are anonymized after delivery)
Note: We do not access or store your calendar events. We only send you calendar invitation emails (.ics files) that you can choose to add to your calendar.
2. How We Use Information
We use the information we collect to:
- Provide calendar management and event organization services
- Process event information using Google's Gemini AI to extract details from emails, PDFs, and images
- Send calendar invitations that integrate with Google Calendar and other calendar services, including to trusted recipients you designate
- Send calendar updates and notifications (if email is provided)
- Improve our service and user experience
3. Data Security
We implement reasonable security measures to protect your information, including:
- Encrypted data storage
- Secure authentication
- Regular security assessments
- Access controls limiting data to authorized users only
4. Your Rights and Choices
You have the right to:
- Access: Review all information we have about you
- Modify: Update or correct information at any time through the dashboard
- Delete: Request deletion of your information at any time
- Trusted Recipients: If you were added as a trusted recipient (e.g., partner/caregiver) and do not want further invites, you may send "STOP" to support@calhelper.ai to be removed.

5. Data Retention and Deletion
We retain your information only as long as necessary to provide our services:
- User Data: Retained while your account is active, deleted immediately upon account deletion
- Pending Event Selections: Deleted after 7 days or immediately after you add them
- Trusted Recipients: Retained until you remove them in Settings or delete your account
- Email Usage Records: Monthly counts retained for rate limiting, deleted when you delete your account
- Invitation Tracking: Delivery status records are anonymized after delivery (event details removed), and old records are automatically deleted after 30 days
Automatic Cleanup: We run daily automated cleanup to remove expired data and anonymize old records for security.
6. Third-Party Services
CalHelper uses Google's Gemini AI exclusively for all AI-powered features, including event extraction from emails, PDFs, and images. We integrate with third-party calendar services (Google Calendar, Outlook, etc.) to send calendar invitations. These services have their own privacy policies, and we encourage you to review them. When using Google's Gemini AI, your data is processed according to Google's privacy policies and terms of service.
7. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.

9. Children's Privacy (COPPA)
CalHelper is designed for parents managing family calendars. If you add a child's email address as a trusted recipient:
- You confirm you have parental authority and consent to store and send calendar invites to that address
- You are responsible for ensuring compliance with applicable privacy laws (e.g., COPPA in the US, GDPR in the EU)
- You can remove a child's email address at any time through Settings
- If a child (or their parent) sends "STOP" to support@calhelper.ai, we will remove that email from all trusted recipient lists
We do not knowingly collect personal information directly from children under 13. All data collection is done through parent accounts.
10. Compliance with Laws
This Privacy Policy is designed to comply with:
- COPPA (US): Children's Online Privacy Protection Act - we rely on parental consent when parents add children's emails
